PROJECT CONTROLS MANAGER
 
POSITION SUMMARY
 
This position is responsible for providing full project control management leadership for the Firm’s projects, ranging from small sized ones in the hundreds of thousands, to large complex multimillion projects with large numbers of subconsultants under the Firm’s umbrella.
You will be responsible for developing project budgets, tracking budgets and project performance, incorporation of variances and reconciliation, forecasting progress, and creation of appropriate alerts at critical points, and interface with Firm’s accounting for correct Deltek entering and for monthly billing. In addition, the role includes creation of appropriate regular reports on project performance and overall performance for different types of audiences (Project Managers, Managing Directors, and Board Members), with appropriate graphic presentation for designer type audience.
 
ESSENTIAL JOB FUNCTIONS
  • Be familiar with Firm’s contracts to prepare or direct the preparation of appropriate and correct budgets as a basis to track project performance. Interface with Accounting Team to set up projects in Firm’s Deltek system.
  • Communicate with Project Managers (PMs) and Principals-in-Charge (PIC), regarding any change orders, contract modifications, approvals, or additional services. Ensure that any scope changes are correctly documented, that project budgets are updated and properly recorded in the accounting system.
  • Monitor project performance on a weekly basis, updating % of project completion based on deliverables and submittals reported by Project Managers. Produce weekly reports to Project Managers clearly illustrating project Budget versus project Completion.
  • Improve or create new reports that visually communicate in an effective and executive manner
  • Establish early alerts regarding project performance to re direct course when needed; advise on any creeping issues in a timely manner.
  • Prepare bi-weekly or monthly reports as required for Managing Directors and Board representing each project performance and overall performance. Group by type or by PIC. Highlight critical situations
  • Effectively communicate and follow up with all Project Consultants and third party Project Managers regarding project progress and billings requirements.
  • Along with Managing Director, prepare the Firm’s Monthly Billing Log as a directive for billing by Firm’s accounting. Work with Firm’s accounting to instruct and prepare monthly billings throughout the duration of the project and for final invoice package, including all applicable backup for approval by the Accounting Supervisor.
  • Assess and pursue opportunities for maximization of client billing; communicate with the Accounting Supervisor, as to your observations and actions taken.
  • Research any unbilled issues to optimize the billing possibilities for the billing period.
  • Work with accounting team to reconcile variances with consultant fees and billings, if any.
  • Generate and distribute bi-monthly receivables reports and monthly profitability reports.
  • Review weekly time sheets for billable projects.
  • Recommend and implement agreed process improvements to the billing cycle.
  • Prepare special project analyses for the PICs, PMs. Board Meetings or others, as required
  • Perform additional assignments, as directed by PICs, PMs, and others.
  • Manage large volumes of data, analyze complex problems and present solutions and proposals.
  • Data Bases and Earned Value Management.
  • Attend regular staff meetings to keep on top of project issues; Attend small meeting as required to follow up on projects.
QUALIFICATIONS & REQUIREMENETS
  • Bachelor’s Degree required, certification in PMP a must.
  • Advanced computer literacy, including experience in word processing, spreadsheets and accounting software.
  • Experience with Scheduling & Controlling, Financial analysis, Project Management, Data Analysis, Data Bases Management & Earned Value Management
  • Knowledge of Deltek Vision 7.6 Software or other accounting platform, a plus.
  • A thorough knowledge of standard contract terms, including hourly, lumps sum, not-to-exceed and how they are applied in the billing process.
  • Ability to work well with others under deadline situations and respond to changes in priorities.
  • Good written and verbal communication skills and strong organizational skills.
  • Ability to work independently, take initiative, set priorities and see projects through to completion.
  • Knowledge of the project structure in a client/consultant business environment.
  • Excellent communication and relationship management skills to interface with Project Managers, designers, Accounting and Directors.
  • Self-starter, flexible and adaptable.
  • Detailed Oriented.
  • Familiarity and experience with AEC industry preferred.
