Second Shift – 1:30pm to 10:00pm

The position is responsible for coordinating overall logistics and operations and ensure day-to-day tasks are performed effectively and efficiently. The Logistics Operations Coordinator will interact with all departments (logistics, operations, sales & marketing and accounting) as well as with suppliers. This role is designed to best meet the needs of customers and deliver quality products consistently to ensure continued business sustainability and growth.

 Responsibilities & Duties:

  • Coordinate with carriers their ETA to company warehouse to plan when orders need to be staged, prepared and ready for loading.
  • Communicate with carriers. Negotiate rates, and availability.    
  • Review with Customer Service & Logistics representatives that all orders have been shipped correctly in the system.
  • Maintain daily communication with Custom Broker, Ocean Carriers and Trucks Dispatchers to ensure on-time delivery of all orders to company warehouses.
  • Assist Logistics department with logistics related matters (i.e. carriers and other warehouses) and any warehouse inventory issues.
  • Ensure that FIFO (First-In-First Out) inventory management is being complied with.
  • Follow ups to ensure morning tasks are in progress or completed.
  •  Address and handle any questions from Purchasing Assistant in a timely and informed manner.
  • Oversee and ensure Quality Control /USDA reports are being communicated to Growers in a timely manner.
  • Analyze in advance warehouse labor needs for the day and assess when additional labor is needed and seek CEO approval. Once approved, ensure that staffing agency is informed on requirements.
  • Ensure that all Repack Request Forms are PRE-APPROVED by CEO.
  • Collect, review and communicate results of any repack that have been previously approved by CEO.
  • Communicate via email as well as upload information on Google Drive on all Dumps/Donations/Damage Boxes/USDA Inspection Disposed Boxes
  • Coordinate between Accounting and Sales that orders on Credit Hold are resolved (released or cancel) in a timely manner.
  • Coordinate and maintain weekly physical inventory of products and materials. Inform physical inventory discrepancies vs system inventory to Accounting.
  • Coordinate execution of Operations goals for the day and the week. This will be organized through SLACK and WhatsApp.
  • Ensure that all Food Safety records are kept current, and filed; Oversee operation for compliance.
  • Work with Purchasing Assistant to coordinate deliveries to warehouse of local purchases as well as other inbound shipments.
  • Coordinate with Warehouse Care Specialist that warehouse personnel is focused on what needs to be accomplished during the day.
  • Ensure all daily warehouse activities are done in a timely and efficient manner.
  • Organize a daily afternoon meeting at 2:30 PM (between shifts) to ensure ongoing flow of operations. Monitor that set goals are executed in a timely manner.
  • Provide support to Warehouse Care Specialist with any questions regarding logistics and operations.
  • Answer questions generated by QC Supervisor regarding quality of products and repacking.
  • Oversee the correct handling and accuracy of materials and product inventory.
  • Process logistics and transportations claims; contact surveyors when containers arrive with issues to destination warehouses.
  • Gathering quotes for warehouse equipment purchases and services. Three (3) supplier / vendor quotes required at a minimum to be presented for management approval.
  •  Ensure that all warehouse and office supplies are ordered and purchased In a timely manner to prevent any delays or shortages on a daily basis.
 Administration / Office Management:
  • Communicate to and coordinate with Human Resources on situations that may arise with warehouse and office personnel requiring attention .
  • Manage filing systems and suggest areas for improvement.
  • Record office expenditure, send copies of all invoices to the accounting department and maintain and track spending to the approved budget.
  • Oversee third party service providers on all office and warehouse services (i.e., IT, Internet, electricity).
  • Maintain overall office environment organized and in place.
  • Review and correct personnel timecards and submit for management for approval.
  • Collaborate with the recruitment of new staff and assist in training and introductions
  • Coordinate with management office: ensure all documentation is in order and up to date (including insurance), vacation schedule.
  • Carry out staff appraisals, managing performance and taking disciplinary actions as appropriate.
 Qualifications / Requirements:  
  • Bachelor’s degree or equivalent experience
  • Quality Assurance experience
  • Effective organizational skills - ability to manage conflicting priorities and meet deadlines.
  • Analytical and detailed
  • Customer service - extensive telephone contact
  • Excellent verbal and written communication skills.
  • Proven ability to solve challenging operational issues and logistical problems in a fast-pace, high volume environment
  • Self-directed requiring minimal supervision and able to work with minimal direction; high level of initiative
  • Effectively work in teams and maintain a collaborative approach for effective team building
  • Proficient in Microsoft Excel (V-Lookup, pivot tables etc.) with computer system savvy
  • Bilingual – English and Spanish
