Position Summary
Under the supervision of the employer, the legal secretary provides secretarial services for the attorney, and facilitates their provision of legal services to the community.
Essential Functions and Responsibilities
  • The specific duties of a legal secretary include the following:
  • Independently prepare or transcribe as requested the legal pleadings, documents, letters, and other materials necessary for the provision of legal services to the community.
  • Prepare the requisite number of copies as indicated by the document prepared or case handler requesting the document.
  • Receive and screen visitors and telephone calls for assigned attorneys and take messages as appropriate.
  • Utilize the pleading bank system to generate documents in response to requests from case handlers for specific documents.
  • Assist other legal secretaries as needed, and cover for their absence.
  • Assist the assigned attorneys in maintaining their calendars, maintaining case files, and scheduling meetings, appointments, and court hearings.
  • When bilingual, translate letters and documents, if translator is unavailable.
  • To the extent possible after fulfilling all of the above duties, legal secretary may be asked to assist in catching up with a backlog of data entry or other administrative work.
  • Perform other job-related duties as assigned.
  • Ability to operate a computer and use online resources.
  • Ability to type a minimum of 60 words per minute and successfully pass a secretarial skill test.
  • Knowledge of technical legal terms, various legal forms and documents, or demonstrated ability to learn quickly with prior experience as a general office secretary.
  • Ability to deal effectively with clients.
  • Ability to willingly accept directions from persons with whom they are working, exhibit a spirit of teamwork and cooperation in completing job responsibilities, and have a work record which reflects dependability including availability on a prompt and regular basis.
