Human Resource Specialist

The Human Resources Specialist works under the direction of the Human Resources Divisional Director, and has general responsibilities in the areas of Recruiting, Employee Relations, Benefits, & HR Operations. The HR Specialist handles assigned recruiting responsibilities for a business unit or assigned requisitions with full cycle recruiting responsibilities for both exempt and non-exempt positions. The Specialist creates processes and manages the administrative functions for a variety of current HR programs, including setting up New Hire Orientation. The HR Specialist assists or supports fellow HR team members with a variety of HR tasks as a credible and trustworthy source for employees, candidates, and management. The position is mostly tactical in nature and will serve to develop business acumen, analytic skills, and an understanding of the competitive landscape This position primarily focuses on full cycle recruiting and supports onboarding activities.
Recruiting activities:
  • Provides full lifecycle recruitment for requisitions of assigned area and/or assists with recruitment of other department requisitions.
  • Gather job descriptions for openings and intake information from managers before starting searches
  • Create requisitions in ADP and request approvals
  • Creates offer letters for Client Operations Team
  • Recruit for assigned open positions - includes searching Monster, Career Builder, Referrals, LinkedIn Recruiter, student & ADP databases
  • Publish and keep track of job postings on ADP
  • ADP Data entry, change applicant status in recruiting system
  • Phone screens, gather employment history from candidates
  • Keep interview Notes in Recruiting Database
  • Setting Up Interviews and emailing application links
  • Obtain manager feedback
  • Candidate Testing/Assessments
  • Gather non-competes and have Contracts Manager review
  • Start Background Screens and keep track of results. Send pre-adverse and adverse action letters when needed.
  • Attend Trade shows, conventions where other resellers are present. Make initial contact with potential candidates. Attends job fairs to recruit candidates.
  • Provide Manager with candidate reference information, get copies of degrees from applicants as needed
 HR Activities:
  • Under the guidance of Human Resources Divisional Director, serves as HR advisor to employees on a variety of topics such as benefit information, internal HR process and status of requests.
  • Under the direction of HR management, attends to Employee Relations issues for the assigned department.
  • Updates all types of employee changes in UltiPro.
  • Schedule new hires for Orientation
  • Send login data to new hires, follow up with IT regarding new hire set up
  • Hire new hires in UltiPro-on assigned position
  • Run UltiPro Reports such as monthly hires, monthly changes, applications received, etc - this is used for Headcount Reporting
  • Attend webinars and seminars to increase overall knowledge
  • Attend UltiPro training
  • Assist with training activities – order breakfasts or lunch, keep track of attendees
  • Assist with HR research
  • Check Previous Employment for potential hires
  • Rep Loaner Letters - send computer equipment receipts & keep log
  • Get HR Mail and Distribute
  • Answer Employee Questions about Payroll, HR, Benefits
  • W-2 Mailing
  • Send UPS - employee live checks
  • Filing
  • Special Projects as Needed
  • As appropriate, serves as a Generalist to an assigned business unit
  • Represents Sr. HR & Payroll Manager in all department matters while on time off. This position is in charge in Sr. HR & Payroll Manager’s absence.
  • Add all new sales hires to TRAXX
  • Terminate Reps from TRAXX and reply to all in Terminate
  • Rep ID Access Requests and update phone numbers in TRAXX
Required Skills:
  • 3 - 5 years of experience
  • Bachelor's Degree with an emphasis in business or Human Resources (or equivalent experience)
  • Excellent written and verbal communication skills
  • Strong organizational, reading comprehension, and problem-solving skills
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Adobe
  • Strong time management skills to include flexibility to coordinate multiple assignments and successfully follow through to completion
  • Good interpersonal skills (active listening, social awareness, self-management, etc.)
