ttg Talent solutions has been engaged by one of our medical group clients to find their next Executive Business Associate to the CEO.  This position will not only manage the day-to-day agenda of the CEO, but it will also support the CEO with board presentations and project delivery tracking functions.   We are looking for a dynamic professional who has been on an Executive Assistant role in the past, reporting to senior management, and is ready for the next step as an associate to the CEO.
 
JOB FUNCTIONS
  • Act as the point of contact and be at the center of communications for the CEO and between the executives and internal/external clients.
  • Regular Executive assistant functions like screen phone calls, emails, mail and visitors; route and resolve information requests
  • Management and coordination of projects: organize efforts across a cross-functional group of teammates, applying communication, process and technology to ensure orderly and timely deliveries.
  • Coordinate special projects as determined by leadership team with the ability to set deadlines, assign responsibilities and monitor & summarize progress.
  • Events Planning.
  • Conduct research, prepare correspondence, expense and statistical reporting
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
  • Prepare internal and external corporate documents for team members and industry partners
  • Act as first point of information circulation between CEO and direct reports.
  • Drafting and/or assisting with CEO communications and presentations.
  • Arrange corporate events to take place outside of the workplace, such as conferences, company sponsored events, organization activities/events
  • Maintain and manage an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality and discretion.
  • Develop and sustain a level of professionalism among staff and clientele
  • Other duties as assigned designed to maximize the efficiency and productivity of the CEO, the executive team and the business.
MINIMUM REQUIREMENTS
  • Minimum of 4 years of experience as an Executive Assistant reporting directly to senior management
  • Project management experience highly desirable
  • Bachelor’s in management, Business Administration, or related field; Master’s degree a plus
  • Professional certification is desirable
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software (Specially: Word, Excel and Power Point)
  • Knowledge of smart-sheet, OneDrive, Microsoft Teams or other planning technology products a plus.
  • Highly organized, detail-oriented self-starter who is resourceful and can think outside the box
