Executive Assistant to the Executive Vice President - Latin America & Caribbean

Our client is a global brand of retail stores searching for an Executive Assistant to the Executive VP of Latin America & Caribbean for their Coral Gables, Florida Office.
Become part of a successful team that is leading the growth in the LAC region.  As the executive assistant to the executive vice president of LAC, you will be an integral part of this international team and act as a functional resource to internal and external partners.  They are looking for a partner with a high level of integrity, problem-solving capabilities, and proactive organizational skills who is comfortable with ambiguity and possess the capability to meet the demands.
You will be working from our regional office in Coral Gables. You will be in touch with different time zones and immersed in an exciting multicultural environment (licensed stores in more than 20 countries.
  • Progressive administrative experience 7-9 years
  • Providing support to executive level management or equivalent 7-9 years
  • Fast-paced environment 7-9 years
  • Advanced proficiency in Microsoft Office (expert PowerPoint skills), Teams, and Concur
  • Ability to handle confidential and sensitive information
  • Experience in Advanced calendar management, meeting planning, and excellent writing skills
  • Must be fluent in English and Spanish with excellent writing skills. Portuguese is a plus. 
  • Have a passion for the industry and a desire to learn and stay up to date on industry trends
  • Be forward-thinking, proactive, hands-on, and troubleshooter supporting special projects
  • Broad knowledge and understanding of the business, including both function and company priorities 
  • Strategically partner with the President of LAC by representing him with a high level of interpersonal savvy, efficiency, and confidentiality, including mailbox management and ghostwriting
  • Lead the day-to-day support of calendaring (Outlook), domestic and international travel ensuring productivity and safety (Egencia), invoices (Ariba), expenses (Concur), event planning and execution, and other administrative functions in compliance with existing policies and procedures
  • Organize and schedule international team meetings, both in person and virtual, either leveraging audiovisual equipment, or setting up meeting facilities, catering, and team buildings
  • Actively engage with the executive's direct report team having ownership of team projects to ensure alignment of priorities and open communication paths
  • Plays a collaborative leadership role and acts as a mentor to the admin partners in the markets.
  • Support the regional office: Liaison between the landlord administration and partner’s needs (parking, badge, maintenance, special orders, building communication, etc). Office and coffee supplies
