Our client is a private equity firm located in Coral Gables. The Executive Assistant to provide high-level and high-quality support to its senior partners.

Job description:
The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. This individual should be able to draft documents and help the executive with any necessary meeting preparations. 
 
 The ideal candidate must also be able to work effectively and efficiently in a fast-paced environment in collaboration with all levels of personnel, both internally and externally. The AE must be proactive and positive nature and a rigorous attention to detail.
 
Responsibilities:
  • Heavy Calendar management for executives
  • Assist executives in preparing for meetings
  • Responding to emails and document requests on behalf of executives
  • Draft slides, meeting notes and documents for executives
  • Communicating and interacting with high profile individuals
  • Coordinating meetings and conference calls and managing calendars/schedules
  • Managing executive email to ensure timely responses
  • Preparing correspondence, memos, etc.
  • Completing and tracking expense reports
  • Scheduling domestic and international travel
  • Coordinating communications with investors, portfolio company executives and other external partners
  • Supporting the Office Manger
 
Required Qualifications:
  • Bachelor’s degree preferred
  • 8 years as an Executive Assistant to high-level management in a law firm, private equity firm, bank, or other financial institution (or related industry)
  • Experience in managing multiple and ever-changing priorities, administrative coordination, and logistics
  • Strong communications skills (including proper grammar and spelling)
  • Superior organizational skills and an ability to prioritize tasks efficiently
  • Strong attention to detail
  • Excellent communications skills: including writing skills (grammar/spelling/proof reading capabilities are a must)
  • Ability to handle dictation and type accurately and efficiently
  • Strong proficiency in Microsoft Office Suite including Microsoft Outlook, Microsoft Word and PowerPoint
  • Willingness to take on new tasks
  • Highly self-motivated with a positive attitude
  • Professional demeanor with strong integrity
  • French, Portuguese and/or Spanish language skills would be a plus
  • Well-organized, detail-oriented, ability to multi-task with excellent time management and follow-up skills
