Job purpose
Our client, is  professional trade organization in operations for decades , has engaged ttg Talent Solutions to identify their next Association Trade Show & Conference Director.  
Responsible for leading the team to development, management, supervision and operations of all conferences and exhibits.  

  • 4-year degree required
  • 5 years’ experience in a leadership role (Conference Logistics) for an Association, non profit, or related industry
  • Ability to sell sponsorships/exhibit space 
  • Ability to negotiate and implement Conference Contracts and Partnerships
  • Hotel contract negotiation experience preferred
  • Experience in creating and executing exhibit/sponsorship packages preferred
  • Strength in collaborating with internal stakeholders and external members and member committees
  • Strong project-management skills, including being detail-oriented and managing toward aggressive timelines.
  • Ability to establish and maintain relationships with members, partners, and vendors
  • Ability to create annual Operating and Capital Budgets for Department
  • Resourceful and self-motivated with strong networking and relationship building skills
  • Willingness and ability to take accountability and with a positive attitude

Duties and responsibilities/essential function

  • Establish and develop the strategic direction for new conference and event offerings, recommended delivery models, and expanded the presence of the company in new and existing markets, with a focus on profitable growth
  • Develop annual marquee events with 1,000 attendees and 75 sponsors
  • Continue to develop "Virtual" events
  • Responsible for the development and execution of the five-year Conference and Event Business Plan.
  • Set conference and event goals, objectives, and direction for the organization, under the direction of the Strategic Goals.
  • Develop and execute communication strategies to ensure all conference and event stakeholders have information needed to successfully execute a Conference, both internally and externally.
  • Ensure all stakeholders understand goals and objectives of the conference.
  • Ensure all conference and event presentations and manuscripts are within the Organization’s speaker guidelines.
  • Ensure all Company’s event websites exceed attendee, sponsor, and exhibitor needs by ensuring information is up to date and current with industry standards.
  • Collaborate with Marketing Department to ensure all conference and event outgoing communications such as web site, brochures, and promotional emails are relevant and up to industry standards.
  • Collect, document, and analyze conference and event data to ensure Department is making sound business decisions when maintaining and launching new products.
  • Serve as the main point of contact for all interested parties and stakeholders through entire planning process and on-site execution of each event.
  • Create internal vetting and collaboration team to assist in launching new products strategically.
  • Create and implement conference and event policies and procedures.
  • Create and oversee an annual budget for the Conferences & Events Department.
  • Identify and capitalize on conference and event business opportunities for multiple industries and market segments.
  • Negotiate, develop, and oversee all organization's MoU agreements for partnered conference and event products.
  • Oversee implementation/transition of new products to internal stakeholder team to ensure smooth transition of new product launches, identify areas of concern in execution.
  • Serve as staff liaison to Conference Committee and the Technical Papers Committee.
  • Responsible for documenting, analyzing, and reporting departmental activities.
  • Lead the event team on the ground and ensure that events run smoothly, and challenges are faced with a solution driven approach
  • Create “lessons learned” recap notes after each event
  • Research prospective future conferences and events, present ideas/create vetting form to present to Conference Committee
Compensation and benefits
  • Base salary (Based on experience) 
  • Vacation: Two (2) week of vacation, with an allowable carryover of two (2) weeks per year.  Ten (10) sick days and two (2) personal days per year, per company accrual policy, and will become effective after 90 days.  Plus, ten (10) paid Holidays a year
  • Standard medical insurance, life insurance (3 times base salary plus $25,000.00), long term disability, dental and vision coverage are supplied and effective, per company policy, 30 days after the date of hire.  Medical Coverage:  70%/30% - several plans available
  • The company covers 100% of life, long term disability, dental and vision insurance.
  • As part of our retirement program, you will receive 4% of your base salary, which will automatically be invested in a 403(b) (7), effective, per company policy, the date of hire. There is an additional 4% retirement fund-matching program available.
